Adding Assets
Overview
Assets are individual physical items — a specific laptop, inverter, or tool with its own serial number and asset tag. Before adding an asset, make sure the asset model exists (see Asset Models).
To access: Assets → Create New
Adding a Single Asset
- Go to Assets → Create New
- Select the Asset Model — this pre-fills category and depreciation settings
- Enter the Asset Tag — Cola Solar’s internal tracking number (e.g.
CSN-0042) - Enter the Serial Number if available
- Set the Status:
- Ready to Deploy — available for checkout
- Deployed — currently assigned
- Undeployable — damaged or under repair
- Archived — retired from service
- Set the Purchase Date and Purchase Cost
- Set the Location — which office or site this asset belongs to
- Set Warranty Months if applicable
- Add any Notes
- Click Save
Asset Status Labels
| Status | Meaning |
|---|---|
| Ready to Deploy | Available, can be checked out |
| Deployed | Currently checked out to a user or location |
| Undeployable | Cannot be issued — under repair, damaged |
| Archived | Retired — no longer in active inventory |
Never delete an asset record. If a piece of equipment is retired, set its status to Archived to preserve the history.
