Employees

Adding a New Employee

  1. Go to HREmployeeNew
  2. Enter the employee’s personal details:
    • Full Name
    • Gender
    • Date of Birth
    • Date of Joining
  3. Click Save

The Employee ID is generated automatically. All mandatory fields are marked with a red asterisk.

Setting Department and Role

After saving the basic record, fill in:

  • Department — e.g. Engineering, Sales, Finance
  • Designation — job title
  • Branch — office location
  • Reports To — direct manager

Contact Details

Under the Contact section, add:

  • Company Email
  • Personal Email
  • Mobile Number

Set the Preferred Email field — this is used for salary slips and system notifications.

Creating a System User for the Employee

To give the employee access to the ERP system:

  1. Open the employee record
  2. Enable Create User Automatically before saving, or
  3. Click Create User from the top actions menu after saving
  4. Confirm — the system creates a login and links it to the employee record

Deactivating an Employee

When a staff member leaves Cola Solar:

  1. Open the employee record
  2. Set Status to Left
  3. Enter the Relieving Date — this is mandatory when status is Left
  4. Click Save

Do not delete employee records. Setting status to Left preserves all history and payroll records.
